Delete your account
This page explains how to ask us to delete your Karibu POS account, what happens to your information when you do, and what we are required to keep.
Karibu POS is a restaurant point-of-sale app. If you are a customer of a restaurant that uses Karibu POS and want your details removed, please contact that restaurant directly — they control their own customer records and we hold them only on the restaurant's behalf.
How to request deletion
Email karibupos@gmail.com from the email address on your Karibu POS account, with the subject line "Delete my account".
Include your restaurant name, so we can find the right account.
We will reply to confirm we have received the request, and may ask you to verify your identity before we act on it — this protects your account against someone else requesting its deletion.
You can also make the request from inside the app: open Profile, then Help & Support, and email us from there. It reaches the same inbox.
We complete verified deletion requests within thirty (30) days.
What is deleted
Your account and profile: name, email address, phone number, role and branch.
Your restaurant's operational records: menu items and prices, orders, payments recorded against orders, end-of-day figures, and customer credit records.
Staff accounts you created under your restaurant.
Saved sign-in sessions, so the app signs out on every device.
What we must keep, and for how long
Some records cannot be deleted on request, because Kenyan law requires us to hold them:
- Financial and transaction records — including subscription payments and receipts — are kept for five (5) years, as required by Kenyan tax and accounting law.
- Security and audit logs are kept for five (5) months, then deleted. These record events such as sign-in attempts and administrative actions, and exist to protect every account against unauthorised access.
- Anonymised statistics are kept indefinitely. These cannot identify you or your business.
Everything outside those categories is deleted within thirty (30) days of a verified request.
If you only want some data removed
You do not have to delete your whole account to correct or remove specific information. Email karibupos@gmail.com describing what you want changed or removed, and we will deal with it under the rights set out in our Privacy Policy.
Your rights
Under Kenya's Data Protection Act, 2019 you have the right to access your data, correct it, have it deleted where there is no good reason for us to keep it, and to complain to the Office of the Data Protection Commissioner of Kenya if you are unhappy with our response.
